6/14/2017 Meeting and Weekly Updates

1.Please continually check and follow your schedule throughout the day.     
2.Please answer the phone at all times.
3. Always count money in the back.
4. Smart Money register key, if not in use place it in glass jar in Monica's office.
5. Announcing to patrons that we are closed, please make announcement consistently starting from 45, 30, 15 minutes before the library closes. Please do not stand over customer's shoulder to tell them library is closed, help them out with what they need and have a soft closing.
6. When you are doing holds in the workroom, please remember to place them either in the outgoing bins or to place them on the holds shelf- please do not leave holds in the workroom.
7. Roving: When you are roving, please make sure you are visible out on the floor. Walk around and make sure nobody is eating, sleeping, or have taken their shoes off. Help at the desk and help to answer the phone. If you are roving and need a break, please let someone in the front know.
8. Ideas for forming a line at the desk. Is being looked in to it by Marcia, we will receive more info on this soon.
9. Teen Room: During the summer time, no adults are allowed in the teen room. There is a sign in the entrance so redirect customers to it if necessary. Everyday!
Booksale. When we receive donations, please look through it and if it needs to be thrown out then make time to do so immediately.

Weekly Updates
On Monday, June 19th we will have a new part timer, her name is Kendra Pemberton and she will be arriving around 11:15am.
We will be having CAMP STREAM at the library from June 19th through to the 21st.
Marcia will be attending ALA and will be returning on Wednesday, June 28th 2017.
Please join me in congratulating Nagma who is one of the recipients of the Houston Public Library (HPL) ACE Scholarship.
We have a new intern Tobias, as Isabel mentioned in the meeting this morning, let’s welcome in and work with him.  If we take the time to train him correctly, he will be an asset to us.
Congratulations to Jayla and the Youth Team on the hosting of our annual SRP kick-off party, we had a great turn-out.  Please assist Jayla as necessary with SRP, we have been seeing some awesome numbers for our events.
Let’s continue to use Qless as much as necessary, if we find that we have errors please notify us so that we can work with Patrick and the Vendor to try and fix.  I will keep you updated on when we go Live.  As we get closer to the start date, we will develop the language that will be used to notify customer of the new system.  I would also suggest that when customer call us now, we can let them know that we are piloting a queue system and that when they come to the library we will take their cellphone number and summon them via text when we are ready to process their applications. 
Ghulam Markhiani will be out on June 22, 23 and 26.

5/31/2017 Meeting

Be proactive, offer assistance without been asked, practice Teamwork 

Passport – be proactive, ensure that you are coming out of the office to assist. 
QLess is not going away and will be live next month 
The last hour of scheduling is not for sitting in the work room 
Clean and straighten up 
Bookdrop, shelve AV’s and again be proactive 
Lost and Found items has been relocated (based on staff recommendations)  
Please ask customers if they have a library card if they want access to the computer 
Please have customers place books in the Book Return bin, unless they request a receipt, please don’t ask them if they want a receipt, defeating the purpose of the book return.  
We have selected one new PT-CSC, hopefully everything will be well and she can join us soon 
Be prepared to assist this summer with programming, we are short of staff and therefore please ensure that you are checking the schedule 

Assigned duties: 
Staff needs to be at their assigned tasks on time.   

Marcia, Monica and Jayla will start monitoring this and if it’s not adhered to we will start documenting and taking appropriate actions. 
If a staff member has completed their assigned tasks and not on a break or lunch, please Rove or find another task.

Kids area iPads, please monitor and keep the volume down.
Kids on computers – do they need parental supervision? Age requirements?
Catalog Computer – monitor, help if we can.
Book damages and fine waiving, when to charge/waive, when to not? Leave notes!
Raining season is coming, please be prepared, be safe!
Pick up shelfs when possible. Roving is a good time for this. Replace books on the display rack if any is missing.
Book Drop – reminder. Double check when you finish please!
Passport hours. Qless updates. The Q-less system works like the sign in sheet, we still take walk in!!
Lost n Found
How to reset the card machine – hold the top button and press the bottom one 3 times.
Summer is coming, please let patrons know about the free museum tickets upon the return of flip kits. Encourage surveys!!!

5/17/2017 Meeting

Meeting led by Analisa

If you’re at the desk and not with a customer, answer the phone.
When you finish a task, look for other ways to help.
If you are shelving CDs/DVDs and notice they are unorganized, please reorganize.
Make sure to arrange Hold Bins so they are neat and organized.
Be familiar with all areas of the library.
Make your presence known in the kids area, especially if it seems as if the kids are not supervised by parents.

Look for ways to promote classes.
If you have ideas for displays, email Michelle.
All staff must be on the floor the last 30 minutes.

If you want to list parent's D.O.B, do so in the Note section in this format.

When a patron uses their TDL or TID and the current address is listed on their ID or DL then please check two marks on the application.
For Example:

If there is ever any changes that you believe should be made on the schedule please let Marcia know.

5/10/2017 Meeting

Maintain the morning schedule, by keeping the assigned task in mind
Please do not leave any library card applications in the front, or else they
will be turned into Monica for grading
Please close all the windows on the front computer before leaving from the
Temporary hold is for 24 hours only. Please put a note on the book with
a date when you put it in the front shelf
QLESS- New reservation system piloting tomorrow at our branch that
will allow to text in reservation to get in line
Missing - If you are doing holds and you do not find an item, please mark
that item as missing so the patron can have a different copy from another
No cellphone usage at the front desk/passport office - If there is an
emergency, answer it in the backroom
Labels/changing from reference to circulation

5/3/2017 Meeting

-Ask for help or help other team members when needed
-Please follow the schedule and check frequently for any changes
-Log off from work flow and Smart money when leaving the desk
-Please remember to record stats numbers
-Please make sure all the returned items are checked in properly
-Kronos Punches (Be mindful of Kronos punches, expect an
e-mail from the managers regarding this matter)
If customers want to check in items and requests a receipt, 
please print check-in receipt and inform the customer about
any items returned with
late fees, items still out, and total dines and on the account.
Please check holds for customer by their library cards before 
sending them to Holds shelf. Hold items may not be there
like expired holds, ILL items ,hold may
be at a different location or not even ready for pickup.
Please check your defensive driving course due dates in
Talent Management system.
HPL ACE (Academic and continuing education) scholarship
deadline: Friday, May 5th
Handling Cash Registers – City of Houston has started to audit
branches. Make sure you: -Ring up everything, for instance 

      if you find .10 cents on floor,
ring it up as book sale.No coins should be floating
around anywhere. 

Make sure your smart money password is working. 
Two team members need to count the money at the end
of the day; both parties should be verifying the money
individually and signing off on that.  

Meeting Room Reservation
Exclusions: No personal events, no commercial meetings,
no political, religious
and fundraising meetings are allowed. When patrons call to
ask about meeting room,
first question to ask is “What is the purpose of the meeting room?”
Patrons can reserve 90 days in advance and do up to
6 reservations. 

(A form should be filled out for each request separately)

Hold bins: Please make sure that outgoing holds are in their
proper bins for delivery.
All CEN and ILL items go in the left bin and all other items
 go in the right bins.
Please remember to place all ILL AV items in bubble 
wrapped envelops.
CMH goes to Central. 

Tagging Google Sheet: There is now a Google Sheet on 
our staff blog to record 
our tagging process. 
Please go over it to fill in the sections that you have completed.
There is a section for “Date Completed” please fill in the best 
of your knowledge if previously completed.

HISD students, who come in with or without their Learning Link card,
please look them up by their name or use the student ID number 
and print a barcode, and refer them to self-check-out. 
Just make sure that the barcode has a first initial of
last name in front of the student ID number.

When passport customers need to fill out a form, please direct them 
to the laptop bar or tables. Anywhere besides the book return area.

Q-less is coming soon. Be aware of how we’ll answer the phone 

regarding passport questions.

The schedule is set up per the chain of command. In the absence of 

a certain person, look at the schedule to see
who’s the next person in charge down the line.

When doing book drop in the work area, please unload the book 

truck in the sorting areal never take them to the front.

Place items back into their proper place when it’s no longer in use. 
Flip Kits on hold, they need to go to CMH to be refurbished.

Never stamp/discard a subscription plan book (yellow).
They need to be return to LMS Float.
